Responsibilities & Key Deliverables
Operations & Maintenance:
- Oversee daily operational management and upkeep of office premises including the Jor Bagh facility, ensuring seamless functioning and compliance with safety and quality standards.
- Strategically manage office space allocation to optimise resource utilisation, accommodating changing organisational needs while maintaining a productive work environment.
- Compile and present detailed operational Management Information System (MIS) reports for leadership review, facilitating informed decision-making and continuous improvement.
- Plan, coordinate, and execute corporate events and senior management meetings including flagship occasions such as Founders’ Day, ensuring flawless event management and stakeholder engagement.
- Develop, implement, and regularly update comprehensive Standard Operating Procedures (SOPs) for all facility operations to enhance consistency and operational excellence.
- Collaborate closely with the Group Public Affairs (GPA) team to support corporate gifting initiatives, ensuring alignment with organisational values and budgetary controls.
Transportation Management:
- Coordinate logistical arrangements and transportation support for visits by Group Executive Board members and other senior leadership, ensuring a high standard of service and punctuality.
- Manage maintenance schedules, insurance renewals, and compliance documentation for corporate pool vehicles, guaranteeing operational readiness and legal adherence.
Inventory Management & Procurement:
- Oversee inventory control processes including budgeting, procurement, and coordination with Accounts for accurate capitalization and record maintenance to ensure financial transparency.
Management Information System (MIS) for Billing Processes:
- Process and manage billing for pool vehicles, conference rooms, and common facilities to ensure accurate cost recovery and budget adherence.
- Handle monthly accounting entries related to inter-department and group company usage cost recovery, supporting financial accountability.
- Review monthly and annual expense provisions affecting the Delhi cluster and GPA, enabling effective budget monitoring and forecasting.
- Liaise with the Accounts team to ensure timely payment processing, advance clearance, vendor account reconciliation, and resolution of outstanding balances.
Compliance Management:
- Administer service and professional contracts for GPA and CIS units in coordination with Group Legal and relevant functional heads to ensure contractual compliance and risk mitigation.
- Ensure all operational activities comply with applicable state laws and regulatory requirements, implementing any necessary updates or changes promptly.
- Work with the Indirect Procurement Team to ensure sourcing practices meet compliance standards for all materials and services utilized by the organisation.
- Lead safety initiatives including periodic fire drills and safety audits, documenting outcomes and driving continuous improvement of emergency preparedness.
Employee Engagement:
- Organize and facilitate employee engagement programmes, health and wellness camps, and cultural celebrations, fostering a positive workplace culture and strengthening team cohesion.
Networking & Liaison:
- Build and nurture strong relationships with government authorities, vendors, and healthcare providers to facilitate smooth operational support and compliance.
- Serve as a key point of liaison for external agencies to address facility needs, regulatory updates, and dispute resolution proactively.
Experience
We seek candidates with 8 to 12 years of substantive experience managing multifaceted facility operations within fast-paced corporate environments. Proven expertise in overseeing office administration, transportation logistics, compliance adherence, and vendor management is essential.
Preferred candidates will have a history of working in highly regulated sectors or multinational corporations, demonstrating their ability to navigate complex regulatory environments while delivering operational efficiency.
Successful applicants will possess strong leadership skills, enabling them to direct teams, manage cross-functional initiatives, and drive continuous operational improvements aligned with organisational goals.
Experience with MIS reporting, budget management, stakeholder engagement, and contract administration will be advantageous and indicative of readiness for this role.
Qualifications
A Bachelor’s or Master's degree in Business Administration, Facility Management, Corporate Services, or a related field is required to ensure a solid foundational knowledge suitable for this leadership role.
Additional professional certifications such as Project Management Professional (PMP), health and safety accreditations, or expertise in compliance frameworks will serve to further demonstrate aptitude and commitment to operational excellence.
