We are seeking a dynamic and experienced Contracts & Procurement Manager to oversee all Operations & Maintenance (O&M) related contracting and procurement activities at Mahindra World City, Jaipur.
The role involves end-to-end management of service and maintenance contracts, vendor sourcing, cost optimization, and ensuring service delivery excellence across infrastructure, utilities, and facilities.
The ideal candidate will possess strong expertise in AMC contracts, facility management services, utilities O&M, and lifecycle procurement, along with excellent negotiation and stakeholder management skills.
Key Responsibilities
1. Vendor Management & Prequalification
- Develop and maintain an approved vendor/contractor database for all O&M-related services:
- Facility management (soft & hard services) o Utilities (power, water, STP, WTP, HVAC, etc.)
- Annual Maintenance Contracts (AMC)
- Civil and MEP – Repairs, revamping, replacements etc.
- Drive vendor evaluation, prequalification, and onboarding aligned with O&M requirements and Company SOPs
- Continuously benchmark vendor performance and capabilities
2. Procurement & Tendering Management
- Manage end-to-end tendering process for O&M contracts:
- Preparation of RFP/RFQ documents o Floating tenders and bid management
- Technical & commercial evaluations
- Collaborate with O&M teams to define: Scope of services o SLAs and KPIs
- Ensure cost competitiveness and budget adherence
3. Contract Management
- Draft, review, and finalize: Service contracts o AMC agreements
- Rate contracts and work orders
- Ensure all contracts: Comply with statutory regulations o Align with company policies and risk frameworks
- Monitor contract execution and service deliverables
4. O&M Service Delivery Support
- Work closely with site O&M teams to ensure: Timely mobilization of vendors o Service continuity across IC & IC operations
- Support resolution of: o Contractual disputes
- Service deficiencies - Enable service quality and uptime improvement
5. Cost Optimization & Strategy
- Drive cost-saving initiatives across O&M spend: Consolidation of contracts o Long-term rate agreements o Strategic sourcing
- Analyze spend data and identify: Cost reduction opportunities Process efficiencies
6. Contract Compliance & Risk Management
- Identify and mitigate contractual risks and liabilities
- Ensure adherence to: Safety standards o Environmental norms Compliance requirements
- Manage contract amendments, renewals, and closures
7. Performance Monitoring
- Conduct periodic vendor performance evaluations with O&M teams
- Implement measurable KPIs for: Service quality Responsiveness Cost efficiency
- Drive continuous improvement in contractor performance
8. Systems & Process Management
- Utilize different platforms (e.g., SAP, MLDL CNP Portal) for: PR to PO process Contract lifecycle management
- Ensure proper documentation and audit readiness
- Standardize procurement and contracting processes
Key Skills & Competencies
- Strong knowledge of O&M contracts, AMCs, and facility management services
- Expertise in tendering, cost analysis, and contract negotiation
- Familiarity with utilities operations (electrical, water, HVAC, infrastructure)
- Proficiency in ERP systems (SAP preferred)
- Strong analytical, negotiation, and stakeholder management skills
- Ability to handle multiple contracts and service lines simultaneously
