Responsibilities & Key Deliverables
Role Summary:
The Secretary is responsible for providing administrative support to ensure efficient operation of the office. This role involves managing appointments, handling correspondence, maintaining records, and coordinating meetings.
Key Responsibilities:
Administrative Support:
Manage and maintain schedules, appointments, and calendars for executives or teams.
Prepare and organize documents, reports, and presentations.
Communication Management:
Serve as the first point of contact for incoming calls, emails, and correspondence.
Draft and proofread emails, letters, and other communication materials.
Meeting Coordination:
Schedule and coordinate meetings, including booking venues and preparing materials.
Record meeting minutes and follow up on action items.
Record Keeping:
Maintain and organize filing systems (both electronic and paper).
Ensure records are up-to-date and easily accessible.
Office Operations:
Monitor office supplies and place orders when necessary.
Liaise with vendors, service providers, and office staff to ensure smooth operations.
Confidentiality:
Handle sensitive information with discretion and maintain confidentiality

Qualifications and Skills:
Education: Graduate (any specialisation)
Experience: Proven experience as a secretary, administrative assistant, or similar role.
