Responsibilities & Key Deliverables

As the Group Secretarial Secretary, you will play a pivotal role in supporting the Group Company Secretary and ensuring the seamless execution of secretarial and organizational tasks. This position requires professionalism, confidentiality, and a strong understanding of corporate governance practices.

  1. Administrative Support:
    • Manage the Group Company Secretary's schedule, appointments, and travel arrangements.
    • Handle phone calls, emails, and correspondence on behalf of the executive, prioritizing and responding as necessary.
    • Maintain organized filing systems and databases related to corporate governance and compliance.
  2. Meeting Coordination:
    • Arrange and schedule board meetings, committee meetings, and shareholder events.
    • Coordinate meeting logistics, including booking venues, arranging catering, and ensuring all necessary resources are available.
  3. Compliance & Confidentiality:
    • Handle sensitive and confidential information with the utmost discretion and professionalism.
  4. Cross-functional Collaboration:
    • Liaise with other departments and teams to facilitate effective communication and cooperation.
    • Act as a point of contact between the Group Company Secretary and other executives, ensuring smooth information flow.
  5. Special Projects:
    • Participate in projects related to corporate governance, compliance initiatives, and organizational improvement.

Experience

  • 5 to 8 years of relevant experience in secretarial or administrative roles, preferably in Secretarial or Legal departments.

Industry Preferred

Qualifications

  • Bachelor's degree of any stream and experience in a secretary role.
  • Industry knowledge and familiarity with compliance tools like SAP or MS Office are essential
